We are seeking an Administrative Assistant to provide full-time support to Southwestern’s Security Officer in relation to carrying out its mission and goals.

Administrative Assistant

Essential Duties and Responsibilities

  • Utilize services and software to request Background Investigations for federal employees and contractors.
  • Manage records of Background Investigations, access authorizations, and Personal Identity Verification (PIV) credential issuance in accordance with records management plans.
  • Complete access authorization process for federal employees and contractors.
  • Complete PIV credential issuance process for federal employees and contractors, including assisting personnel in filling out the correct paperwork to request a new PIV.
  • In coordination with the Security Officer and Division of Information Technology and Communications, ensure access credentials are entered correctly into the Physical Access Control Systems (PACS) in accordance with applicable DOE and NERC requirements.
  • Create and issue credentials to employees, ensuring all required paperwork is correctly completed and forwarded to the Security Officer for approval prior to issuance.
  • Ensure terminated employees, or lost or stolen credentials are removed within the specified time-frame and in accordance with applicable DOE and NERC requirements.
  • Maintain credential creation hardware.
  • As required, issue temporary badges to federal employees and contractors in accordance with policy.
  • Receive and maintain visitor logs from all Southwestern sites in accordance with records management plans.
  • As necessary, conduct new employee orientation for Physical and Personnel Security.
  • Complete access request forms, which are approved by federal lead.
  • Enter information into Foreign Access Central Tracking System (FACTS), as required.
  • Prepare audit responses from records for approval by federal lead.
  • Serve as alternate audit responder for CIP-004.
  • Prepare training from guidance provided by federal lead.
  • Coordinate training events for security and emergency management.
  • Coordinate response following security incidents, including gathering of witness statements, law enforcement reports and data on losses.
  • Assist in research and report preparation.
  • Assist in Continuity of Operations Planning (COOP) program development.
  • Assist in specification and/or statement of work preparation.
  • Assist in procurement coordination for security and emergency management.
  • Assist in Directive and policy development and review.
  • Assist the Security Officer in assuring that all applicable Security Plans and documentation are actionable and maintained in accordance with DOE and NERC requirements.
  • Data-entry for security assessments conducted by others.

 

Supervisory/Management Authority

  • No supervisory/management authority.

 

Education and/or Experience

  • Requires a minimum of a High School Diploma or equivalent and 3 years related experience.

 

Knowledge, Skills and Abilities

  • Maintain a close working relationship with co-workers, customers, vendors, and management.
  • Strong communication skills.
  • Must have a valid driver’s license.
  • Travel to Southwestern sites, as need, will be required

 

Work Environment

  • This position is primarily performed in a climate controlled office setting. Services are anticipated to be at a full-time level of effort, with scheduled work to be between Monday and Friday, excluding Federal holidays. A workstation and a desktop or laptop computer with docking station and monitor shall be provided at the Tulsa, Oklahoma, Headquarters Office.
