Job Description:

The Administrative Assistant II will provide comprehensive executive level support services primarily focused on office correspondence, which includes tracking, coordination, editing, proofreading and updating written information.  This position will support the CECOM-SEC Director’s office, anticipating the needs of Executive Staff.

Essential Duties and Responsibilities (Deliverables):

Includes the following (Other duties may be assigned):

  • Prepare and/or edit organizational charts, memos and other general office documents and material as required;
  • Shall have strong MS Excel and Word skills to produce monthly reports. Attend meetings, capture, and distribute minutes derived from the meeting.
  • Prepare and/or edit standard operating procedures. Have knowledge of clerical procedures used to perform the work. Use judgment in locating, selecting, and applying the most appropriate authorized alternative among the various guidelines covering similar situations. 
  • Refers situations involving significant deviations from established guidelines, or the absence of adequate guidelines, to supervisor.
  • Proofreads typed material before returning it to the author in order to eliminate typographical errors. 
  • Uses word processing equipment to produce draft and final documentation suitable for publication.  Works from draft, edited, or previously typed material to record, update, and print required documentation.

  • Maintains record of work accomplished, files and document completed work, and works in cooperation with others in large, complex publication efforts. 
  • Coordinates and provides administrative support for conferences and meetings.
  • Oversee all aspects of travel to support the Director and Deputy Director to include coordinating all logistics and transportation needs and generation of government travel orders.
  • Perform special assignments on request, providing substantive support and assistance to the Management team.
  • Highly organized and have excellent oral and written communication skills in order to interface with personnel and other government agencies at all levels. Ability to handle multiple tasks simultaneously.
  • Ability to communicate effectively orally and in writing.
  • Knowledge of office policies, practices and procedures. Demonstrate thorough knowledge of Microsoft applications (MS Word, PowerPoint and Excel) Experience working with databases.
  • Knowledge of basic accounting skills helpful; Ability to work independently. Shall have a minimum of two (2) years business office experience.
  • Performs other job related duties as required.

Supervisory/Management Authority:

This position typically performs all functional duties independently. This labor category typically works on high visibility or mission critical aspects of a given program and performs all functional duties independently.

Education and/or Experience:

Have a minimum of two (2) years business office experience.

WORK ENVIRONMENT

This position is primarily performed in a secured federal office setting.

Ability to walk over rough terrain, carry up to 50 lbs. of equipment, tolerance of climatic extremes in mosquito and spider infested areas.
