CNT is looking to fill the position of an Administrative Support Assistant to provide support for administration in the Montana Ecological Services Office. The purpose of the work is to provide clerical support for the immediate staff. The work facilitates the work of others, contributes to their efficiency and fosters compliance with policies and regulations. The work consists of varied duties involving several related steps and processes in order to furnish clerical support and/or comply with Regional reporting requirements. Procedures for most tasks are well established, however, the employee must use judgment in making choices, applying procedures, and taking action. Preparation of reports and correspondence normally require the use of software programs.

 

 

Responsibilities:

 

  • Serves as support for records management and administration, including sorting and collating material, scanning and filing electronically, copying to CD or flash drive; compiling records chronologically, or by classifications such as numerical sequence.  Enters data into reference management software.

 

  • Receives, sorts, and routes incoming mail from US Post Office, UPS and FedEx. Dispatches outgoing mail to US Post Office, UPS and FedEx.

 

  • Establishes and maintains files; cross-references file material as needed. Locates filed material as requested. Files and retrieves reference material such as Fish and Wildlife Manual material, correspondence manual data, circular letters, and memoranda.

 

  • Prepares narrative meeting minutes, correspondence and forms as needed or by request.

 

  • Assists in reconciling monthly credit card statements and attaching receipts.

 

  • Maintains “tickler” files on correspondence and reports with due dates and follows-up to ensure that deadlines are met and copies are properly distributed.

 

  • Other duties as assigned by supervisor to support station or program area goals and objectives.

 

  • Drives fleet vehicles to pick up supplies, mail, and/or materials. Helps maintain fleet vehicles by cleaning and getting serviced.

 

Qualifications:

 

  • Skill in operating a computer to prepare memorandum, letters, reports, and documents.
  • Must be familiar with the use of spreadsheet and database management software to enter, organize, track, and manage data.
  • Ability to use word processing software.
  • Knowledge of grammar, spelling, capitalization, and punctuation in order to prepare a variety of material in final form from drafts and files.
  • Knowledge of standard formats, forms, correspondence practices, and procedures in order to ensure proper style, form, references, routing , and signatures.
  • Knowledge of standard filing practices to file and locate material in the files.
  • Ability to communicate orally in person and on the telephone.
  • General knowledge of station programs, objectives, and staff responsibilities in order to answer nontechnical questions and/or refer callers to appropriate staff member.
  • 2 year Business degree
  • Strong computer software skills
  • Communication skills
  • Administrative support experience
  • A valid State driver’s license is required
  • Skills in these areas: Adobe Acrobat, Microsoft Word & Excel, Reference Management Software such as EndNote, Knowledge of Gmail, Google Hangouts and Google Docs
  • Ability to learn and teach to others Reference Management Software
