Job Description:

Provide comprehensive executive level support services primarily focused on office correspondence. The position will have in-depth knowledge of the ASD-R and DUSD P&R office, portfolios, and duties.

Essential Duties and Responsibilities (Deliverables):

Includes the following (Other duties may be assigned):

  • Provide advisory and assistance services primarily focused on office correspondence, which includes tracking, coordination, editing, copy writing, and packaging for submission.
  • Offer opinions, special knowledge, and administrative subject matter expertise to support the on-going efforts.
  • Produce various guidance establishing standard operating procedures in all areas of personnel and readiness to help achieve maximum effectiveness.
  • Coordination of services, staff, collating as well as tracking all inputs and changes to documents.
  • Will also act as liaison with other staff and offices to ensure proper distribution of staff and working documents.
  • Manage and coordinate document lifecycle as well as action required via Correspondence and Task Management System (CATMS) and provide principal briefing and meeting support.
  • Write correspondence, memorandums and FAQ to support information products.
  • Standard Operation Procedure Support: improving the effectiveness of the organizational work methods and procedures, information and documentation systems within the office striving to look for ways to streamline handling of documents for more efficient management of correspondence.
  • Manage email, correspondence and telephone inquiries and help respond promptly to incoming correspondence.

Supervisory/Management Authority:

This position has no supervisory or management authority.

Education and/or Experience:

  • An Active Secret Clearance is required
  • A bachelor’s degree is required and 5 plus years of high level executive administrative support experience in a federal government setting is preferred; experience in a DoD or Military setting is a plus.

Knowledge, Skills and Abilities:  (example: specific software, soft skills, etc. – This gets deleted)

  • Ability to follow Dept. of Defense (DoD) writing guide lines for correct correspondence and memorandum formatting
  • Proficiency in MS Office Suite and other software knowledge i.e. SharePoint is required
  • Reliability, critical thinking and the ability to be proactive to work effectively and independently in a professional environment is mandatory
  • Excellent problem solving, multitasking, attention to detail and communication skills; both oral and written are a must
  • Ability to successfully pass a drug screen and federal background check is a must
