Executive Assistant, Military Personnel Support Division
Falls Church, VA 

SUMMARY

      The services provided under this contract will support the Defense Health Agency’s (DHA) requirement for a strengthened and robust full-service Military Personnel Support Division (MPSD), equipped to provide the full array of human resources support services across multiple functional HR disciplines and programs.  This position provides administrative services to MPSD, including direct support of Chief, MPSD and supporting staff.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Manage multiple group calendars and group inboxes.
  • Manage office correspondence by participating in the management of Division-originated or Division-assigned actions and taskers in the CATMS staff action control system, as directed.
  • Application of DHA and Department of Defense (DoD) formatting to assigned actions.
  • Ability to produce written materials in standard, edited American English, as modified by organizational styles, or to edit non-standard materials for compliance.
  • Prepare travel authorizations and travel orders in the Defense Travel System (DTS).
  • Proper handling, storage, and disposition of sensitive but unclassified client and company information, including Personally Identifiable Information (PII) and other protected client information.
  • Provides records management support to MPSD personnel.
  • Facilitate visitor pre-registration, parking requests, and escort as needed.  
  • Meeting coordination including schedule management, room reservations, VTC support, note taking, and other tasks as needed.
  • Assist in the development of the MPSD SharePoint site by providing user perspective and feedback to the developers.
  • Facilitate ordering of office supplies.
  • Provide daily, ad hoc, administrative support to the Chief, MPSD and supporting staff.
  • Other duties as assigned.

EDUCATION and/or EXPERIENCE

  • Bachelor’s degree in a liberal arts or business discipline or four years additional experience in lieu of a degree.
  • Two years of experience in a professional office setting supporting mid-level to senior executives.
  • Familiarity with the basic rank structures of the U.S. military services and the broad outlines of military culture and ethics.
  • Familiarity with the basic structure of the U.S. civil service and the broad outlines of federal government operations, culture, and ethics.
  • Ability to work under a federal contract supporting a DoD client, especially in the handling of sensitive but unclassified client information.
  • Ability to accurately collect, collate and enter information into databases, workbooks, or documents, especially using the Microsoft Office suite of programs.
  • Familiarity with the Military Health System and Defense Health Agency desired.
  • Familiarity with basic military Human Resources functions, roles and processes desired.
  • Familiarity with basic SharePoint use and development desired.

KNOWLEDGE, SKILLS AND ABILITIES

  • Existing Secret Clearance desired, existing T3 investigation required.
  • Proficient in use of Microsoft Office Suite.
  • Proficient in use of Defense Travel System (DTS).
  • Proficient in use of Correspondence and Task Management System (CATMS)
  • Proficient in use and basic development of SharePoint.
