SUMMARY

This is the Lead Administrative Care Coordinator position located in Lenexa, KS. This position provides non-clinical administrative support to the CNHS Kansas Army National Guard Case Management team.  This position supervises other ACC’s and Medical Record clerks and technicians in the Lenexa, KS office and maintains medical records of KS Army National Guard soldiers, reviews medical records for completeness and accuracy, codes diseases, operations, diagnoses and treatments, compiles medical care and census data for statistical reports, and maintains indexes on patient, disease, operation, and other categories. The Lead Administrative Care Coordiantor directs routine operation of medical record department, files, or directs Medical Record Clerk to file, patient records, maintains flow of medical records and reports to departments, and may assist medical staff in special studies or research.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Administrative Support Services: Includes the following:

  • Performs other job related duties as required.
  • Maintain Soldier medical records in accordance with Army Regulation (AR) 40-66, Medical Record Administration and Health Care Documentation.
  • Compose routing correspondence, including e-mail; and completing correspondence in the correct format; and forwarding, on time, all required reports.
  • Comply with laws regulations and guidance for protecting health information (HIPAA/Privacy Act) in civilian and military settings as well as the professional ethics surrounding health case management.
  • Provide reports and updates to the DSS & J-1 on the deploy-ability and readiness of each Soldier / Unit as applicable.
  • Secure and safeguard all government property, including documents that are provided for or created by case management and medical operations.
  • Respond to and effectively handle time-sensitive calls as they are received, to include during off-hours.
  • Complete all case records, reports, logs and communications records. All deliverables shall meet required professional and technical standards.
  • The Contractor shall comply with the following Government directives in order to successfully complete the tasks:
    •  AR 40-501, Standards of Medical Fitness
    • AR 40-66, Medical Record Administration and Health Care Documentation
    • AR 25-50, Army Correspondence
    • USCENTCOM 021502Z DEC 13 MOD Twelve to USCENTCOM Individual Protection and Individual-Unit Deployment Policy

  • Hours of Operation: The contractor shall perform the services required under this contract within core operating hours which are 0800-1700, Mon thru Fri.
  • Directs routine operation of medical record department, files, or directs Medical Record Clerk to file, patient records, maintains flow of medical records and reports to departments

SUPERVISORY/MANAGEMENT AUTHORITY

This is a full-time position that reports to the Program Manager.

EDUCATION and/or EXPERIENCE

  • Minimum of HS diploma – would prefer AA or AS degree.
  • Medical Office and/or medical records experience preferred. 
  • Knowledge of military medical records preferred. 
  • High proficiency with learning and using computer programs

KNOWLEDGE, SKILLS AND ABILITIES

Contractor employee should possess the following knowledge/skills:

  • Strong organizational skills
  • The ability to use Power Point, Excel, Word, Access, Outlook
  •  Operate a personal computer to input, store, retrieve and manipulate data for various reports as required by this PRS. Experience with computerized client management systems is preferred.
  • Ability to learn to use various software programs to maintain database files and prepare reports, including but not limited to the following ARNG web-based electronic data systems via MODS: Medically Non-Deployable (MND)/e-Profile, Medical Data Protection System (MEDPROS), MEDPROS Web Data Entry (MWDE), Soldier Patient Locator (SPL), Warrior Transition Report (WTR), DENCLASS, AVS, HRR, ePHA/MHA, eCase and other modules as applicable or as they become available.
  • Experience with the military, such as prior military service or military family member or military family volunteer, is highly desirable.
  • Demonstrates competency in assessing, planning, implementing, and evaluating care provided including patient/family education.
  • Demonstrates leadership qualities including professional verbal and written communication skills, flexibility to prioritize complex situations, and decision-making skills.

WORK ENVIRONMENT

This is a full-time position that leads the Lenexa, KS ACC’s and Med Records technician/file clerk to assist the different Case Management teams as needed in support of PHA(s) and or Army National Guard soldier medical readiness needs.  This position works closely with the Case Managers and other Administrative Specialists to meet the needs of the ARNG CM program.
