**ACTIVE SECRET SECURITY CLEARANCE REQUIRED**

SUMMARY

The Program Assistant is to provide professional service employees in support of PRM's overall mission to more efficiently provide day-to-day administrative support services to ten different PRM offices, on a rotational basis, ranging from recording time and attendance to preparing travel related documents to scheduling meetings and events.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Includes the following:

  • Responsible for the day-to-day administrative functions of the office.
  • Provide program assistance, administrative and secretarial support to the Office
  • Director and staff.
  • Schedule meetings, receive office visitors, answer and screen phone calls.
  • Route mail and maintain office files.
  • Record time and attendance.
  • Create, edit, review, and issue routine correspondence.
  • Maintain routine and emergency contact lists.
  • Respond to internal and external contacts within DOS as well as other government
  • agencies and the public.
  • Prepare travel orders, itineraries, and vouchers for the office.

SUPERVISOR/MANAGEMENT AUTHORITY

No supervisory or management authority.

EDUCATION and/or EXPERIENCE

  • Bachelor’s Degree in related field and have experience and demonstrated expert knowledge of
  • computer software such as Adobe, Microsoft Office (PowerPoint, Outlook, Word, Excel, Access, Publisher)
  • Exceptional analytical skills and problem solving capabilities
  • Self-motivated with the ability to work independently
  • High caliber written and verbal communication skills
  • Proficient in time and resource management
  • SharePoint experience preferred.
  • Secret Clearance required.

KNOWLEDGE, SKILLS and ABILITIES

  • Knowledge of basic office management procedures
  • Experience with use of computer software suites such as Microsoft Office
  • Strong interpersonal skills and writing skills along with the ability to prepare professional emails quickly.
  • Demonstrated experience scheduling meetings, arranging conferences, tracking time and attendance, and able to work within demanding rotational assignments
  • Ability to obtain and maintain a secret security clearance
  • Must be customer-service oriented, dependable, attentive to detail and willing to assist other team members, as workloads require.
  • Ability to interact with Foreign Service Officers, Civil Servants, and Contractor staff in a professional and courteous manner.
  • Ability to multitask, work under pressure and adhere to short deadlines. Must have strong organization skills.
  • Willingness to learn new tasks that arise.
  • Must be willing to work as part of a team in a collaborative environment.

WORK ENVIRONMENT

Work will be performed in a climate controlled office environment.
