Job Description:

Office Management Specialist provides office management support to WHA within the mission either as the sole support of the office, or in assistance to an Office Management Specialist.

Essential Duties and Responsibilities (Deliverables):

Includes the following (Other duties may be assigned):

  • Receive incoming telephone calls and direct them to the appropriate staff members.
  • Arrange for a back-up to receive calls in his/her absence

• Coordinate and prepare briefing materials and issue papers for Principals

• Arrange meetings and manage calendars for Principals

 • Prepare documents, memos and reports

• Update program office SharePoint Bureau page and office directories as needed

• Order office supplies as needed

• Prepare documents to request diplomatic passports for staff members. Obtain Visas for travelers in a timely manner, either through the Passport Office or hand-carried

• Manage travel arrangements for domestic and overseas trips through E2 Solutions

• Manage time and attendance into the Departments electronic filing system (WEB TATEL)

• Provide logistical support, as needed, for conferences and meetings

• Reserve meeting rooms through the Departments Reserve!T

• Prepares work orders for services/supplies needed for the effective running of the office and coordinates these with the General Services Officer

• Ensures pre-clearance for outside visitors, and escorts them into and out of the building

• Pick up and distribute WHA/EX mail from the mailroom

Supervisory/Management Authority:

No supervisory or management authority.

Education and/or Experience:

High school diploma and three (3) years of equivalent office management experience; OR a two-year college degree in Office Management, Business Administration, Computer Technology, Web Development or other related field together with two years of office management experience. Secret Clearance is required for this position.

Knowledge, Skills and Abilities:  

  • In-depth knowledge of Microsoft Office Suite is essential.
  • Must be able to organize routine data and maintain established procedures.
  • Must be able to work with all levels of personnel working in the Embassy and the general public and operate courteously and tactfully.
