SUMMARY

The Program Specialist will provide extensive office administrative support to the NSWC PCD graphics and imaging branch. Frequently provide subject matter or functional area expertise in performing technical tasks.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Includes the following:

  • Analyze, schedule, and track all work requests.
  • Maintain task log and report information to Government personnel utilizing task tracking software.
  • Analyze job orders in sufficient detail to determine priority and ensure that the proper processes are carried out in an expeditious manner.
  • Determine feasibility of requested delivery time relative to other work presently in the office; observe, plan, schedule, and coordinate multimedia operations to ensure delivery dates are met; monitors work flow to compensate for frequent priority assignments.
  • Ensure customers receive graphic arts, photographic, and printing products or services in a timely manner.
  • Keep the multimedia archives updated, retrievable, and backed up.
  • Compile information reports, statistical data, and other informative material on current and historical work status, manpower utilization, and cost data.
  • Check all completed work requests for accuracy including labor costs, before further processing.
  • Maintain a current listing of software licensees that are actively in use within the Branch. Maintain current log of equipment holdings, equipment check-out log, and perform bi-annual equipment audits.
  • Validate, verify, and format briefs, projects, manuals, or documents to ensure compliance with DoD, Navy and local NSWC PCD, NSA PC and tenant activities policies and procedures and ensure grammatical accuracy.
  • Cross-reference and file artwork, control classified graphics and photographic materials, and maintain a database of all Branch work-related activities.
  • Dry-mount, matte, and frame images or posters as needed.
  • Assist with research and initial input of data to initiate purchase requests for Government review and approval, when requested by supported Government personnel for new equipment or supplies required to maintain production.

SUPERVISORY/MANAGEMENT AUTHORITY

No supervisory or management authority.

EDUCATION AND EXPERIENCE

Bachelor’s Degree preferred.  Three (3) to five (5) years’ experience serving as an analyst in planning, developing, coordinating, and conducting analyses for overall operational efficiencies/inefficiencies, program-related trends, effectiveness in achieving planned goals, objectives, and milestones, and effective budgetary/resource utilization.

KNOWLEDGE, SKILLS AND ABILITIES

  • Excellent oral and written communication skills.
  • Superior client interaction and problem solving skills.
  • Expertise in information knowledge management, administrative transformation, or records management.
  • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel and Outlook) and Adobe Acrobat Pro.
  • Proven knowledge of supporting US government clients or DoD preferred.
  • Active security clearance or recent NACI security investigation (e.g. within last five years).

WORK ENVIRONMENT

Work will be performed in a climate controlled office environment.
