Senior Operations Coordinator, Integrated Biosurveillance

The DHA is a joint, integrated Combat Support Agency that enables the Army, Navy, and Air Force medical services to provide a medically ready force and ready medical force to Combatant Commands in both peacetime and wartime. The DHA supports the delivery of integrated, affordable, and high quality health services to Military Health System (MHS) beneficiaries and is responsible for driving greater integration of clinical and business processes across the MHS.

This position supports the Defense Health Agency, Armed Forces Health Surveillance Branch (AFHSB) – Integrated Biosurveillance (IB) Section.  The position requires providing superior operational support to a dynamic team of scientific professionals. Accordingly, a high degree of administrative expertise and responsiveness is required. Previous military experience is preferred as this person will need to interact with senior level service-specific (Navy, Army and Air Force) public health and medical leaders. 

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Responsible for ensuring all required administrative support tasks, outlined in this job description, are successfully accomplished.
  • Coordinating IB travel arrangements including routing and tracking approvals, preparing travel orders, scheduling transportation and hotel, and completing payment vouchers as well as arranging schedule of visits, notifying organizations and officials to be visited, arranging for local transportation, and facilitating trip book coordination.
  • Serving as the POC for weekly and ad hoc IB staff and other meetings to include, but not limited to: scheduling, confirmation of presenters, preparation of agenda, meeting room/teleconference/web collaboration set up, advanced preparation of documents/meeting information for leadership, and meeting minute preparation.
  • Assisting IB staff in the production and submission of presentations, abstracts, and ad hoc reports, including routing through AFHSB and DHA approval processes.
  • Prepare and edit memorandum, letters, documents, and spreadsheets as requested using appropriate formats.
  • Maintaining IB Section calendar and managing the IB Chief and Deputy Chief’s personal calendars.
  • Providing advice on workflow and operational procedures to increase efficiency, productivity and makes overall improvements to the program.
  • Assisting with IB task management, as requested and required, to include, but not limited to: distribution of request(s) to appropriate team member(s), collating responses from team members, and provision of consolidated responses to Technical Lead for review.

EDUCATION and/or EXPERIENCE

  • Bachelor’s Degree or Certified Administrative Professional
  • 6 – 10 years’ experience in administrative management 
  • Secret Clearance

KNOWLEDGE, SKILLS AND ABILITIES

  • Microsoft Office Suite including advanced Excel capabilities proficiency
  • Defense Travel System expertise
  • Excellent analytic, writing and verbal communication skills
  • Strong sense of urgency, flexibility, and the ability to multitask
  • Strong attention to detail
  • Team player, respectful of others, with a high level of professional and personal integrity
