The GEIS Operations Coordinator will support the Armed Forces Health Surveillance Branch (AFHSB) Global Emerging Infections Surveillance (GEIS) section through support to infectious disease surveillance and outbreak response via the global DoD laboratory network that provides early detection, prevention and response to infectious disease threats of military relevance.


The GEIS Operations Coordinator plays a central role in supporting all aspects of the GEIS Business Cycle and supports the GEIS Program Manager/Technical Lead in ensuring that all timelines and deliverables are well defined and tracked and all deadlines are met.



Overarching Operations Support


  • Serves as the POC for weekly and ad hoc GEIS staff meetings and quarterly GEIS partners’ calls and other meetings to include, but not limited to: scheduling, confirmation of presenters, preparation of agenda, meeting room/teleconference/web collaboration set up, advanced preparation of documents/meeting information for leadership, and meeting minute preparation.
  • Prepares and edits memorandum, letters, documents, and spreadsheets as requested by GEIS leadership using written and verbal communications (correct grammar, punctuation, and spelling); appropriate formats (e.g., organizational/DHA letterhead, DoD regulations, and/or AFHSB templates and forms); demonstrates proficiency in Microsoft Office (Word, Excel, and PowerPoint) and office equipment (fax, phone, computer, type writer, and copy machine).
  • Constructs and maintains the GEIS Section calendar.
  • Constructs and maintains all relevant distribution lists and databases as indicated by the staff.
  • Assists GEIS staff in the production and submission of presentations, abstracts and ad hoc reports, including routing through AFHSB and DHA approval processes.
  • Assists with GEIS task management and response, as requested and required, to include, but not limited to: distribution of request(s) to appropriate team member(s), collating responses from team members, and provision of consolidated response to Program Manager/Technical Lead for review.
  • Assists the GEIS Program Manager and Focus Area staff with the tracking and organization of annual proposals and recurring GEIS reports, ensuring that these proposals and reports are received in a timely matter;
  • Supports Program Manager/Technical Lead and Focus Area staff with the tracking of recurring reports, such as quarterly/bi-annual partner reports, ensuring that these reports are delivered in a timely manner and to the correct recipient(s);
  • Maintains the GEIS Slide Repository to make sure all GEIS slides are current and kept up-to-date

Travel Support

  • Coordinates GEIS travel arrangements with AFHSB HQ staff, including routing and tracking approvals and other necessary paperwork, preparing travel orders, and completing payment vouchers as well as arranging schedule of visits, notifying organizations and officials to be visited, arranging for local transportation, and facilitating trip book coordination among GEIS Focus Area Leads; will include scheduling transportation and hotel reservations through the Defense Travel System where necessary and coordinated with AFHSB HQ staff.

Technical Support

  • Serves as primary POC for management of the Proposal Management Information Solution (ProMIS) mailbox and user access, including respond to technical support emails and calls from ProMIS users; verify the accuracy and validity of their requests and help users resolve issues.
  • Assist the Program Manager with the management, requirements gathering, and development of ProMIS.

  • Requires a Bachelor’s degree or equivalent work experience with a minimum of 6-10 years of related experience in project or administrative management
  • Operational military experience and/or familiarity with DHA, OJSS, and/or military service-specific public health leaders is preferred
  • Experience supporting senior level military leadership
  • Experience collaborating in a team environment and managing multiple tasks using organizational skills to prioritize them




  • Possess excellent organizational skills
  • Proficiency in Microsoft Word, Excel, Project, and PowerPoint
  • Excellent written oral and written communications skills
  • Team player and collaborates well with professionals

  • Must be able to obtain a Secret clearance
