Support Specialist III

The Centers for Disease Control and Prevention (CDC), Office of Infectious Diseases (OID), National Center for Immunization and Respiratory Diseases (NCIRD), Office of the Director (OD) has responsibility for oversight of four divisions that play a critical role in outbreak response, diagnostic epidemiology, vaccine development, and control of respiratory and vaccine-preventable disease nationally and globally.

They are in need of Support Specialists to perform a wide range of administrative support to the NCIRD public health program to meet its business service needs.

Responsibilities:

• Perform independent research and in-depth analysis of program requirements, budgetary constraints, regulatory limitations, and agency policy to ensure accurate interpretation and to provide efficient and effective service.
• Provide overall guidance and technical assistance to staff regarding the correct documents needed for administrative, operational and programmatic processes.
• Use discretion and judgment to ensure assignments and general business operations are compliant with management policies and consistent with the organization's mission and objectives.
• Monitor customer service requests mechanisms and provide oversight of internal tracking, control and contribute to developing enhancements and refinements to these systems and processes.
• Develop and maintain the necessary controls, procedures, and evaluation tools for federally established procurement, property, facilities and/or programs
• Develop and maintain a variety of tracking tools and spreadsheets using basic and advanced functions of a variety of types of software.
• Maintain accurate and organized business processes for the work area.
• Prepare and submit oral or written reports, assessments, briefings and reconciliations as required by management policies, procedures, and regulations for review, tracking or internal workflow analyses, process improvement or other assessments.
• Coordinate and facilitate communications between NCIRD and other CDC components (OAS, OFR, OHS, OD, etc) to support business operations.
• Manage logistical support for various meetings and activities critical to business operations.
• Provide general project support services or administrative duties as assigned
• Distribute mail on a daily basis
• Process time and attendance in TASNet and maintain appropriate files with leave slips.
• Maintain calendars and manage conflicts.
• Maintain and process internal requests for conferences using ICAP systems
• May serve as a travel resource contact for NCIRD conference approval actions; travel related initiatives; and assist with resolution and analysis of other travel issues related to conference approvals and day-to-day operations of NCIRD.
• Perform overall travel and administrative related tasks.
• Perform independent research to ensure accurate interpretation of the numerous and complex guidelines related to new travel and conferences issued by HHS.
• Process and manage the domestic travel functions related to all aspects of NCIRD travel authorizations.
• Prepare and coordinate travel for all staff; ensuring that requests are compliant with NCIRD/CDC/HHS policies, procedures and regulations.
• Facilitate and manage the administrative functions related to the processing of all individual and group travel memorandums; of travel reporting (audits) for travelers.
• Develop reports related to CAS II, ConcurGov or other systems as needed.
• Monitor travel projection lists and updates projections as necessary.
• Monitor and update ULOs on a monthly basis.
• May be involved in receiving and effecting systems data exchange in support of personnel requests; providing established reporting and reconciliation; and, ensuring the completeness, accuracy, and appropriateness of requests
• Assist with new employee processing, award nominations, staff requisitions and detail actions.
• Ensure outside activities records are compliant with general business operations.
• Prepare and Process Civil Service, Commission Corps, SBRS Distinguished Consultant and Non-FTE Personnel Actions.
• Track forms and materials associated with evaluation, training and staff development.
• Assist with obtaining training for NCIRD staff on CDC systems
• Contribute to the development, enhancement, and improvement of internal/external systems and NCIRD processes.

Qualifications:

• Bachelor’s Degree, Master’s Degree desired
• Experience may be substituted for a degree
• Experience with CDC processes and systems
• Strong MS Office skills
• Must have Concur Travel system experience 
• Possess good communication and interpersonal skills
