The Program Assistant I is to provide professional service employees in support of PRM's overall mission to more efficiently provide day-to-day administrative support services to ten different PRM offices, on a rotational basis, ranging from recording time and attendance to preparing travel related documents to scheduling meetings and events.


Includes the following:

  • Responsible for the day-to-day administrative functions of the office.
  • Provide program assistance, administrative and secretarial support to the Front Office Principals, Office Directors and Deputies, and general staff.
  • Schedule meetings, receive office visitors, answer and screen phone calls.
  • Route mail and maintain office files.
  • Record time and attendance.
  • Assist with ordering and receipt of office supplies
  • Create, edit, review, and issue routine correspondence.
  • Draft, edit, and review standard operating procedures for the bureau and offices
  • Respond to internal and external contacts within DOS as well as other government agencies and the public.
  • Prepare travel orders, itineraries, and vouchers for the office.
  • Performs other job related duties.


No supervisory or management authority.


Bachelor’s Degree in related field and have experience and demonstrated expert knowledge of computer software such as Adobe, Microsoft Office (PowerPoint, Outlook, Word, Excel, Access, Publisher).  SharePoint experience preferred.


  • Exceptional analytical skills and problem solving capabilities.

  • High caliber written and verbal communication skills.
  • Proficient in time and resource management.
  • Knowledge of basic office management procedures.
  • Experience with use of computer software suites such as Microsoft Office.
  • Strong interpersonal skills and writing skills along with the ability to prepare professional emails quickly.
  • Demonstrated experience scheduling meetings, arranging conferences, tracking time and attendance, and able to work within demanding rotational assignments.
  • Ability to obtain and maintain a secret security clearance.
  • Must be customer-service oriented, dependable, attentive to detail and willing to assist other team members, as workloads require.
  • Ability to interact with Foreign Service Officers, Civil Servants, and Contractor staff in a professional and courteous manner.
  • Ability to multitask, work under pressure and adhere to short deadlines. Must have strong organization skills.
  • Willingness to learn new tasks that arise.
  • Must be willing to work as part of a team in a collaborative environment.
  • Active Secret Clearance required.


Work will be performed in a climate controlled office environment.
