ThIis entry level Project Administrator will work closely with a team of Program Managers (PM) to manage critical activities across a diverse set of projects supporting the the Department of State (DoS). These critical activities include, but are not limited to; compiling project data using various database programs; tracking project deliverables; and coordinating project-related activities between the PM, HR, TA, customers, and the business leadership to ensure performance standards and customer requirements are met.


Includes the following:

  • Assist with tracking government concurrence on all timesheets for invoicing
  • Assist employees with timesheet setup, issues, corrections, etc.
  • Assist with travel, to include international travel
  • Assist employees with expense reports
  • Perform all administrative tasks for new employee onboarding. This includes, but is not limited to, submitting VAR/Security requests, completing new hire Service Now onboarding, and ordering applicable equipment
  • Maintain and update staffing spreadsheet to include employee contact information and email groups to allow PMs and leadership to push important communications
  • Assist in developing work product templates to meet customer and/or PM requests
  • Update trackers and report progress of activities for project deliverables/milestones
  • Plan updates and other meetings to include scheduling, preparing meeting agendas; creating actionable meeting minutes, taskers and applicable administrative repository; and following up on items to ensure timelines, standards, and requirements are being met
  • Serve as a company representative at a variety of multi-stakeholder forums
  • Ensure timely communications and use of established processes with internal support departments
  • Review, understand, and ensure compliance with contract terms
  • General administrative tasks include assisting with document management, correspondence, and contact databases
  • Performs other duties as assigned


Assists PMs with the management of multiple projects and personnel without having direct supervisory responsibilities.


  • BA degree with a government internship preferred or Associate’s Degree with 2 years of commensurate  government experience 
  • Secret clearance preferred, or ability to quickly obtain and maintain a secret clearance


  • Experience in federal government contracting
  • Must possess excellent organization skills
  • Exceptional written and oral communication skills
  • Must be able to manage multiple projects and assignments efficiently, work in a fast-paced environment, and have a strong attention for detail
  • Must be self motivated and able to work independently with minimal direction and supervision
  • Team-oriented professional with mission-driven approach
  • Excellent interpersonal skills and problem-solving skills
  • Proven knowledge of Microsoft office suite Word, Excel, and PowerPoint


This position is primarily performed in a climate controlled office setting. May also require local travel by car.
