SUMMARY

The Project Coordinator will provide assistance to the program management team by managing the personnel security application/CAC issuance process  for all contract personnel assigned to support Cherokee Nation Operational Solutions (CNOS) MHS Genesis project. Additionally, the Project Coordinator is responsible for managing the full life cycle of  travel for personnel assigned to the project. This includes, but is not limited to,  travel booking, expense reporting, and site coordination. This role will be responsible for escalating risk, managing the travel budget in accordance with the cost proposal and will work closely with the functional project managers to ensure appropriate human capital allocation.

 ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Will provide seamless transition from the recruiting and hiring process through obtaining appropriate documentation for necessary security credentials and ultimately CAC issuance.
  • Maintains communication with candidate, and the functional project management team, as to the status of candidates’ CAC status.
  • Maintains a central repository of all requirements for individual base access requirements as it relates to military security levels (Alpha, Bravo, Charlie etc.)
  • Works with the functional project management to provides necessary information to obtain travel approvals and provide sites with adequate lead time for resource arrival.
  • Coordinates the receipt of all necessary paperwork, signatures, surveys needed for travelers to arrive on-site between CNOS team member and site POC.   
  • Utilizes the approved travel booking tools to secure bookings for all required travel needs, including but not limited to: airline bookings, rental cars, lodging etc.
  • Communicate clearly and effectively the expectations for team members executing travel as to what’s needed for a seamless work trip.
  • Acquire appropriate proof of receipt and complete expense reports for travel in timely manner.
  • Escalates risks related to missed deadlines or new requirements or variables impacting successful completion of any task.  
  • Performs other job-related duties as required.

SUPERVISORY/MANAGEMENT AUTHORITY

  • No supervisory or management authority.

EDUCATION and/or EXPERIENCE

  • Bachelor’s of science degree and 5 years of overall management experience in high paced environment is preferred.
  • Experience in lieu of education is acceptable  

KNOWLEDGE, SKILLS, and ABILITIES

  • Outstanding attention to detail.
  • Ability to function and drive results in a fast pace environment.
  • Ability to adapt and respond to differing instructions and programs.
  • Must be a self-starter and able to work effectively with minimum supervision.
  • Proficient in Microsoft Office (Word, Excel, and PowerPoint).
  • Ability to learn and quickly adapt to use of required tools for job description. 
  • Excellent oral, written, and interpersonal skills.
  • Good organizational skills and knowledgeable in project management process with ability to deliver on what the functional project management team needs
  • Ability to effectively communicate relevant project information to customer and staff.
  • Be able to prioritize and organize work effort to achieve outcomes and meet deadlines

Work will be performed in a climate-controlled office environment.
